AI Chatbots for Business Websites and Lead Capture
A chatbot trained on your own website, FAQs and documents that answers customer questions, collects lead details and sends them to your CRM, with a clear handoff to your team when a person is needed. Built by the BX team in Manila for businesses in the US, UK, Australia, Canada, New Zealand, Singapore and the Philippines.
Who this is for
- Service businesses that answer the same pre-sale questions every day by chat, email and DM
- Clinics, schools and professional firms that want inquiries captured after office hours
- Online stores that get repeat questions about products, sizes, shipping and returns
- Businesses running Meta click-to-message ads that need every chat answered and logged
- Teams on HubSpot, GoHighLevel, Zoho CRM or Pipedrive that want chat leads to land there automatically
Problems we solve
- ✕Website visitors leave with a question nobody answered
- ✕Messenger, Instagram and WhatsApp inquiries wait unread outside office hours
- ✕Chat leads stay in an inbox and never reach the CRM or a salesperson
- ✕Staff spend their day answering the same pricing, location and booking questions
- ✕A generic chatbot gives wrong answers because it was never trained on your business
What is included
Question audit and conversation design
We list the questions your team gets most, the lead details you need, your booking rules and the cases that must go to a person. Then we write the bot's tone, opening messages and the topics it must not answer.
Training on your own content
The bot answers from your website pages, FAQs, PDFs, price lists and policies through retrieval (often called a RAG chatbot), so replies come from your sources rather than general internet knowledge. When the answer is not in your content, it says so and offers a person.
Guardrails
Topic limits, no quotes or promises that are not in your approved content, no medical, legal or financial advice where that applies, and rules for what personal data the bot may ask for. We test that it stays inside these limits before launch.
Lead capture and qualification
The bot asks for the details you choose, such as name, email, phone, service needed, location or budget, checks email and phone formats, and tags each lead with the page or ad it came from.
CRM, calendar and alert connections
Leads and transcripts go to HubSpot, GoHighLevel, Zoho CRM, Pipedrive, Salesforce or a Google Sheet. Bookings can go through Google Calendar, Calendly or GoHighLevel calendars, with Slack, email or SMS alerts to the right person.
Human handoff
A person can take over any conversation from the shared inbox. The bot hands off when a visitor asks for a person, raises a complaint, looks like a high-value lead or asks something outside its content, and passes the transcript so the customer does not repeat themselves.
Website, WhatsApp, Messenger and Instagram
Start with a website chat widget, or run one knowledge base across your website, Facebook Messenger, Instagram DMs and the WhatsApp Business Platform so answers stay the same on every channel.
Testing, launch and handover
We run a test script of real customer questions, edge cases and attempts to push the bot off topic, including Tagalog and Taglish phrasing for Philippine audiences. You get a handover document covering logins, how to update content and how handoff works.
What you get from it
Answers outside office hours
Visitors get a reply at night and on weekends, and the details they leave are waiting in your CRM the next morning.
Every chat becomes a CRM record
Conversations are logged with contact details, source and transcript, so follow-up does not depend on someone checking an inbox.
Your team handles the conversations that need a person
Routine questions are answered from your content, and complaints, complex cases and ready-to-buy leads go straight to staff.
Built by a marketing team
BX also runs ads, SEO and landing pages, so we connect chat leads to the campaign that sent them and can see which pages and ads produce conversations that turn into sales.
How we work
Scoping call and question audit
We review your website, inbox and DM history, agree the channels, lead fields and handoff rules, and confirm a fixed setup quote.
Content preparation and design
We gather and clean the content the bot will learn from, write the conversation flows and set the guardrails.
Build and connect
We build the bot in accounts you own and connect it to your CRM, calendar and alert channels.
Test with your team
Your staff try to break it. We fix wrong answers, tighten guardrails and confirm every lead reaches the right place.
Launch and review
After launch we read transcripts, add missing answers to the knowledge base and check lead routing. On a care plan this review continues every month.

Related results
These case studies cover related lead handling and messaging work rather than AI chatbot results. For a US online private school, BX rebuilt Google Ads, passed campaign tags into the CRM and added a website chat that feeds the CRM; monthly CRM leads grew from 258 in January 2026 to 870 in August. For two Philippine retail brands, BX ran Meta messaging campaigns that started 16,506 chats in 70 days and 15,105 chats over 10 months, the kind of message volume a chatbot is built to answer. Client names are withheld and results vary by market, offer and budget.
Frequently asked questions
How much does an AI chatbot for business cost?
A website chatbot trained on your content, with lead capture to your CRM, starts from USD 790 setup and a care plan from USD 190 per month. A multi-channel bot across your website, WhatsApp, Messenger and Instagram starts from USD 1,490 setup and USD 290 per month. AI model usage, Meta's WhatsApp message fees and platform subscriptions are paid by you directly or passed through at cost. Philippine clients are quoted in PHP plus 12% VAT.
What happens when the chatbot cannot answer a question?
It says it does not have that answer, collects the visitor's contact details and hands the conversation to your team with the full transcript. You choose who gets the alert and how, for example a Slack message, an email, an SMS or a task in your CRM. Unanswered questions are reviewed and added to the knowledge base on the care plan.
Will the chatbot make things up?
We set it to answer only from your approved content and to hand off when it is unsure, then test it against a list of real questions before launch. No AI system is right every time, so we keep prices, promises and sensitive topics tied to your source documents and review transcripts after launch.
Which platforms, CRMs and tools does it work with?
We build on a platform that suits your stack, such as GoHighLevel's conversation AI, Voiceflow or a custom build on a major AI model, and connect it to HubSpot, GoHighLevel, Zoho CRM, Pipedrive, Salesforce, Google Sheets, Google Calendar, Calendly and Slack. Other tools can usually be connected through n8n, Make or Zapier. We confirm the exact setup on the scoping call.
Is our customer data safe?
The bot, CRM and chat platform run in accounts you own, and we only ask visitors for the details you need to follow up. We do not collect card numbers in chat, and for clinics and other sensitive sectors we keep the bot away from collecting health or personal case details. We add a short privacy notice to the chat and follow the privacy rules that apply in your market.
Can the chatbot reply in Tagalog or Taglish?
Yes. Current AI models handle English, Tagalog and the Taglish mix that Philippine customers often type, and we include those phrasings in testing. The bot can also reply in other languages your customers use, and we test each language you want supported before launch.
Does WhatsApp cost extra?
Meta charges per delivered template message on the WhatsApp Business Platform, with rates set by message category and the recipient's country. Regular replies sent within the 24-hour customer service window that opens when a customer messages you are not charged. These fees are billed by Meta or your WhatsApp provider directly, not by BX.
Who owns the chatbot and the conversations?
You do. We build in accounts in your name or transfer them to you, and the knowledge base, transcripts and leads stay in your platforms. The handover document explains how to update content, so you can keep the bot running with or without a BX care plan.
