Done-For-You AI Receptionist and Answering Service

An AI receptionist that answers every call, books appointments into your calendar, logs each caller in your CRM and passes urgent calls to your team. BX writes the scripts, sets up the platform, connects your systems, tests it and keeps checking the calls after launch. Built by our team in Manila for businesses in the US, UK, Australia, Canada, New Zealand, Singapore and the Philippines.

Who this is for

  • Clinics and dental practices: new patient bookings, reschedules and cancellations, opening hours, insurance and fee questions, with clinical questions passed to staff
  • Home services, HVAC and plumbing companies: job intake with address and problem details, booking estimates, and urgent calls such as leaks or no heat sent straight to the on-call technician
  • Law firms: first intake questions, matter type and conflict-check details, consultation booking, and a clear line that the AI gives no legal advice
  • Real estate agents and property managers: listing questions, viewing bookings, buyer and seller qualification, and maintenance requests logged for the right person
  • Any service business that misses calls during busy hours, lunch breaks, evenings or weekends and wants each caller handled and recorded

Problems we solve

  • ✕Calls go to voicemail when the front desk is busy or closed, and many callers do not leave a message
  • ✕Staff spend their time answering the same questions about hours, prices, location and availability over and over
  • ✕Bookings taken by phone are written on paper or in a separate inbox and never reach the CRM
  • ✕After-hours enquiries from your ads and Google Business Profile wait until your team is back
  • ✕You bought AI receptionist software but never had time to write the scripts, connect the calendar or test it properly
  • ✕Nobody reviews what the AI said on calls, so mistakes and missed bookings go unnoticed

What is included

Call scripts and knowledge base

We write the greeting, questions and answers from your services, prices, policies and FAQs, plus the rules for what the AI must never say, such as medical, legal or pricing promises you have not approved.

Platform setup on GoHighLevel, Retell AI or Vapi

We configure the voice, language, call flows and guardrails on the platform that fits your stack. GoHighLevel AI Employee suits businesses already on GoHighLevel; Retell AI and Vapi suit custom flows and other CRMs. The account is created in your name, so you own it.

Calendar booking

The AI checks real availability and books, moves or cancels appointments in Google Calendar, Outlook, Calendly or your CRM calendar, then sends a confirmation by text or email.

CRM logging

Each call creates or updates a contact in GoHighLevel, HubSpot, Zoho, Salesforce or Pipedrive with the caller's details, the reason for the call, a summary, the recording link and the outcome. Other CRMs connect through n8n, Make or Zapier.

Transfers and human handoff

Rules for when the AI transfers a live call to a person, takes a message, or sends an urgent text or email to the on-call team. If the AI cannot answer a question, it says so, collects the details and passes them on instead of guessing.

After-hours and overflow modes

Run the AI receptionist all the time, only after hours, or only when your team does not pick up after a set number of rings. You keep your current business number and forward calls to the AI line.

Missed-call text back

If a caller hangs up before the AI or your team answers, they receive a text with a booking link, and the missed call is logged in the CRM for follow-up.

Compliance settings

A recording and AI disclosure message where your market or industry requires it, data retention settings, and limits on what personal information the AI collects. For clinics we set it up so health details are not stored outside approved systems.

Testing, monitoring and reporting

We run test calls for every flow before launch, review real calls after launch, fix wrong answers and send a monthly report with calls answered, bookings made, transfers and questions the AI could not answer.

What you get from it

1

Every call gets an answer

Callers reach someone who can answer questions and book, including evenings, weekends and public holidays, instead of a voicemail box.

2

Bookings and leads in one place

Phone enquiries land in the same CRM as your web forms, chat and ad leads, so your team can follow up from one list and you can see which ads and pages bring calls.

3

Less repeat work for your front desk

Routine questions and simple bookings are handled by the AI, so staff spend more time with patients and customers in front of them.

4

Done for you, not another tool to manage

BX writes the scripts, connects the systems, tests the calls and keeps tuning them. You approve the scripts and receive the report.

5

Connected to the marketing that creates the calls

BX also runs Google Ads, Meta ads and local SEO services, so call tracking, CRM tags and the AI receptionist can be set up to show which campaigns produce booked appointments.

How we work

1

Discovery call and call audit

We look at your call volume, common questions, booking rules, phone system, calendar and CRM, and agree which calls the AI should handle and which go to people.

2

Scripts and call flow map

We map each call path (new booking, reschedule, pricing question, urgent issue, existing client) and write the scripts for your approval.

3

Build and connect

We set up the AI receptionist on the chosen platform, connect the calendar and CRM, add transfer numbers, missed-call text back and the disclosure message.

4

Test with your team

We run test calls for every flow, including difficult and off-topic callers, and your team makes test calls of its own before any real caller reaches the AI.

5

Go live and monitor

We forward your number, review real calls, correct answers and booking rules, and report on calls, bookings and handoffs every month under the care plan.

Estimate the cost first

These case studies show the call volume, CRM and lead handling work an AI receptionist plugs into. For a private medical clinic in Canada, calls from the Google Business Profile grew to 368 from June to August 2026, 153 of them in August, after BX rebuilt its local SEO and set up booking tracking. For a US online private school, BX passed campaign tags into the CRM and added a website chat that feeds it, and booked admissions calls rose from 80 in May to 157 in August 2026. For a US commercial solar installer, BX moved 52 pages onto one CRM form and imported 5,292 past leads, so the CRM now holds 5,428 contacts ready for follow-up. Client names are withheld and results vary by market, budget and starting point.

Frequently asked questions

How much does an AI receptionist cost?

With BX, setup starts from USD 990 and the care plan starts from USD 290 per month. On top of that you pay the platform and usage costs directly or at cost with no markup: the phone number, call minutes, AI model usage and any subscription such as GoHighLevel. The final quote depends on how many call flows, locations and integrations you need.

What is the difference between an AI receptionist, an answering service and a human receptionist?

A traditional answering service uses people to take messages, usually without booking access. A human receptionist handles everything but only during working hours. An AI receptionist answers every call at once, answers common questions, books into your calendar and logs the call in your CRM, and it hands complex or sensitive calls to your team. Many businesses use the AI for after-hours and overflow and keep people for the rest.

What happens when the AI cannot answer a question?

It tells the caller it will pass the question on, collects their name, number and the question, and then either transfers the call to a person or sends the details to your team by text, email or CRM task, depending on the rules we set. We review these calls and add approved answers to the knowledge base so the same question is handled next time.

Will it sound robotic, and do callers know it is an AI?

Current platforms use natural-sounding voices, and we choose and test the voice with you before launch. We recommend telling callers they are speaking with an AI assistant, and in some markets and industries a disclosure or recording notice is required, so we include one in the greeting.

Do I need a new phone number? Which phone systems and CRMs work?

No. You keep your existing number and forward calls to the AI line all the time, after hours or when no one picks up. This works with most mobile carriers, landlines and VoIP systems such as RingCentral, Zoom Phone or Aircall. We connect GoHighLevel, HubSpot, Zoho, Salesforce and Pipedrive directly, and other CRMs through n8n, Make or Zapier.

Is caller data private and secure?

Calls, recordings and transcripts are stored in the voice platform and your CRM, in accounts owned by you. We limit what the AI asks for, set data retention, restrict staff access and avoid collecting card numbers or detailed health information on the call. For clinics in regulated markets we confirm the platform's privacy terms, such as HIPAA agreements in the US, before go-live.

Which languages does the AI receptionist speak?

English is standard, with accents and voices suited to the US, UK, Australia and other markets. Spanish and other major languages are available on most platforms. For Philippine businesses we can set up Tagalog and Taglish call flows on platforms that support them, and we test them with your team because quality varies by voice and model.

Who owns the AI receptionist if we stop working together?

You do. The platform account, phone number, scripts, CRM data and recordings sit in accounts in your business name. If you end the care plan, we hand over the scripts and settings so your team or another provider can keep running it.
