AI Workflow and Business Process Automation Services

We connect the tools you already pay for so leads, invoices, reviews and client onboarding move on their own, with AI steps that read, sort and draft where a simple rule is not enough. Built in n8n, Make, Zapier or your CRM's own workflows by the BX team in Manila, for businesses in the US, UK, Australia, Canada, New Zealand, Singapore and the Philippines.

Who this is for

  • Small and mid-size businesses where staff copy data between forms, spreadsheets, the CRM and accounting software
  • Service businesses that lose leads between the ad, the form and the first follow-up
  • Agencies, BPOs and back-office teams that run the same client process again and again
  • Owners already paying for Zapier or Make whose automations break without anyone noticing
  • Teams that want AI to sort, summarize or draft inside a process, with a person approving the output

Problems we solve

  • ✕Leads arrive in one tool and are typed into another by hand
  • ✕Follow-ups, invoice reminders and review requests depend on someone remembering
  • ✕Old Zaps or Make scenarios fail quietly and nobody knows who built them
  • ✕Every new client means setting up the same folders, emails and tasks by hand
  • ✕Weekly reports are built by exporting and pasting from several platforms

What is included

Example 1: Lead form to CRM to SMS follow-up

Trigger: a website form, Meta lead ad or Google Ads lead form. Steps: create or update the contact in HubSpot or GoHighLevel, tag the source campaign, send an SMS and email reply, and alert the owner in Slack. Before: someone checks the inbox and copies the lead over. After: the lead is in the CRM with its source and has had a first reply before anyone opens the inbox.

Example 2: AI lead triage and routing

An AI step reads each free-text inquiry and labels the service requested, location, urgency and likely spam, then routes it to the right person or pipeline and drafts a reply for staff to approve. Before: one person reads and forwards every message. After: inquiries arrive sorted, with a draft ready.

Example 3: Invoice reminders

Overdue invoices in Xero or QuickBooks Online trigger a polite reminder sequence by email, stop as soon as the invoice is marked paid, and post a note to Slack for your finance team after the final reminder. Before: reminders go out when someone has time. After: every overdue invoice gets the same follow-up.

Example 4: Review requests

When a job or appointment is marked complete in your CRM or booking tool, the customer gets an SMS or email with your Google review link. Any reply that mentions a problem is sent to a manager to resolve. Before: reviews are requested now and then. After: every completed customer is asked.

Example 5: Client onboarding

A deal marked won creates a Google Drive folder from your template, sends a welcome email with an intake form, adds tasks in ClickUp, Asana or your CRM, and shares a kickoff booking link. Before: a checklist someone works through by hand. After: the same setup every time, with nothing skipped.

Example 6: Weekly marketing report

Google Ads, Meta Ads and GA4 figures are pulled into Google Sheets or Looker Studio, an AI step writes a short summary of what changed, and the summary is posted to Slack or emailed to your team. Before: exports and copy-paste. After: the report arrives on schedule.

Example 7: Document and receipt processing

Bills and receipts emailed to a shared inbox are read by an AI step that extracts supplier, date, amount and tax, then creates a draft bill in Xero or QuickBooks for a person to approve and logs it in Google Sheets. Before: manual data entry. After: staff check and approve instead of typing.

Example 8: Appointment reminders and no-show follow-up

Bookings in Google Calendar, Calendly or GoHighLevel trigger reminder messages, and a missed appointment triggers a rebooking message and a CRM task. Before: front desk staff call around. After: reminders and rebooking prompts go out automatically.

Error alerts, logs and retries

Every workflow we build has failure alerts sent to email or Slack, retry rules for temporary errors and a log of runs, so a broken connection is noticed and fixed rather than discovered later.

Documentation and handover

You get a written map of each workflow: the trigger, every step, the accounts it uses and what to do if it stops. Workflows are built in accounts you own.

What you get from it

1

Fewer manual handoffs

Data moves between your forms, CRM, inbox and accounting software without retyping, which also removes copy errors.

2

Fixed scope and price per workflow

Each workflow is mapped and priced before we build, so you know what is being automated and what it costs.

3

AI where it helps, people where it matters

AI steps classify, summarize, extract and draft. Anything that sends money, quotes a price or speaks to a customer in a sensitive situation can wait for a person to approve it.

4

Lead data kept from click to CRM

BX also runs ads and SEO, so lead workflows keep the campaign and source data you need to see which marketing produces customers.

How we work

1

Workflow audit

We list the repeat tasks across sales, operations and finance, then rank them by how often they happen, how many errors they cause and how hard they are to automate.

2

Map and choose the tool

For each workflow we draw the before and after steps and choose n8n, Make, Zapier or your CRM's built-in automation based on your stack, volume and budget.

3

Build

We build in your accounts with test data first, add AI steps where they are useful and set approval points where a person should check the output.

4

Test

We run normal cases, edge cases and failure cases, such as missing fields, duplicate contacts and a connected app going offline, and confirm the alerts fire.

5

Launch and monitor

After launch we watch the run logs and fix early issues. On a care plan we keep monitoring, fix errors and make small changes as your process changes.

Estimate the cost first

These case studies show related CRM and lead-handling work rather than AI automation results. For a US online private school, BX passed campaign tags into the CRM so ad leads can be traced and added a website chat that feeds the CRM; leads traced to Google Ads went from 4 in May 2026 to 81 in August. For a US commercial solar installer, BX moved 52 pages onto one CRM form and imported 5,292 past leads, and the CRM now holds 5,428 contacts with zero import errors. Client names are withheld and results vary by business.

Frequently asked questions

How much does AI workflow automation cost?

A single workflow starts from USD 450 setup, with an optional care plan from USD 150 per month. A package of up to 5 connected workflows starts from USD 1,800 setup and USD 250 per month. Tool subscriptions and AI model usage are paid by you directly or passed through at cost. Philippine clients are quoted in PHP plus 12% VAT.

Should we use n8n, Make or Zapier?

It depends on your volume, the apps you use and where you want data stored. n8n bills cloud plans by workflow run and can be self-hosted. Make bills by credits. Zapier bills by task and lists the largest app library. If you already use one and it works, we usually build there. If costs are climbing, we can compare what the same workflows would cost on another tool.

Which tools can you connect?

Common ones include HubSpot, GoHighLevel, Zoho CRM, Pipedrive, Salesforce, Google Workspace (Gmail, Sheets, Drive, Calendar), Microsoft 365, Slack, Xero, QuickBooks Online, Calendly, ClickUp, Asana, Shopify, Meta lead ads and Google Ads lead forms. Most tools with an API or webhook can be connected; we confirm each one during the audit.

What do the AI steps actually do?

They handle tasks a fixed rule cannot, such as labeling a free-text inquiry, summarizing a call note or report, pulling fields out of an invoice or drafting a reply. We use them only where they add something, and we put a human approval step in front of anything that pays, quotes or sends a sensitive message.

What happens when a workflow breaks?

Every build includes failure alerts and a run log. On a care plan we watch for errors and fix them, including when a connected app changes its login or API. Without a care plan, alerts go to your team and fixes are billed at USD 65 per hour.

Can you fix or take over automations someone else built?

Yes. We start with an audit of your existing Zaps, Make scenarios or n8n workflows, document what each one does, fix what is broken and remove duplicates before adding anything new.

How do you handle data privacy and access?

Workflows run in accounts you own, and we connect with the least access each step needs. AI steps only receive the fields they need, and if you want data kept on your own infrastructure, n8n can be self-hosted. When the work ends, you remove our access and keep everything we built.

Can workflows send messages in Tagalog or other languages?

Yes. Templates can be written in English, Tagalog or Taglish, and AI steps can read and draft in those languages. We test each message in the languages you use before launch.
