AI for Real Estate Agents, Brokerages and Property Managers
BX sets up AI that replies to new buyer, seller and tenant leads as they arrive, books showings into your agents' calendars, answers after-hours calls, drafts listing descriptions for agent review and keeps older leads in touch until they are ready to move. Each system connects to the CRM your team already uses and follows fair housing and consent rules from the start. Built by our team in Manila for agents and property businesses in the US, UK, Australia, Canada, New Zealand, Singapore and the Philippines.
Who this is for
- Solo agents and small teams who lose leads while they are at showings, open houses or closings
- Brokerages that buy portal leads or run Google Ads and Meta lead forms and want every lead contacted and logged the same way
- Property managers and letting agents who field the same tenant questions and maintenance requests every evening and weekend
- Developers and pre-selling project teams that get large volumes of chat and call enquiries during launches
- Real estate businesses in the Philippines that want enquiries answered in English, Tagalog or Taglish on Messenger, WhatsApp and the website
Problems we solve
- ✕Portal and ad leads wait for a reply while the agent is with another client
- ✕Showing requests go back and forth by text before a time is agreed, and some never get booked
- ✕After-hours calls from yard signs, listings and Google Business Profile reach voicemail
- ✕Agents spend evenings writing listing descriptions and social captions from the same property details
- ✕Hundreds of older leads sit in the CRM with no follow-up because calling them one by one is more than the team can fit in
- ✕Tenants call and message the office with the same questions about rent, repairs and move-in steps
What is included
Instant response to portal, website and ad leads
When a lead arrives from your website, Google Ads, a Meta lead form or a property portal that sends leads by email or to your CRM, the AI replies by text or email straight away and, where you have consent to call, an AI voice agent rings the lead to confirm what they are looking for. Budget, area, timing, financing status and whether they are buying, selling or renting are written into the CRM, and hot leads are passed to the assigned agent.
Showing and appraisal booking
The AI checks your agents' calendars and books showings, open house slots, valuation appointments and discovery calls, then sends confirmations and reminders. Reschedules and cancellations are handled in the same thread, and the listing agent is told about every change.
After-hours and overflow call answering
An AI receptionist answers calls when the office is closed or the line is busy. It answers listing questions from the details you approve, books showings, takes seller enquiries and sends anything urgent to the agent on duty. You keep your existing numbers.
Listing description and caption drafts
A workflow takes the property details from your listing sheet or CRM and drafts a listing description, portal copy and social captions in your brand style. Every draft goes to the agent for review and approval, and the prompt is set to describe the property and its features rather than the people who might live there.
Nurture for cold and past leads
Older leads and past clients receive useful, approved messages by email or text, such as new listings that match their search or a check-in on their plans. Interested replies are flagged for an agent and opt-outs are recorded in the CRM.
Tenant and property management FAQs
A chatbot and phone line answer tenant questions about rent payment, move-in steps, parking, pets and building rules from your approved documents, log maintenance requests with photos and unit details, and route emergencies such as leaks or no power to your on-call contact.
Fair housing and consent settings
Every script asks all leads the same questions about budget, area, timing and property needs. The AI does not ask about or comment on protected characteristics, does not steer people toward or away from neighbourhoods, and hands fair housing questions to a person. Calling and texting run only to contacts with the consent your market requires.
CRM connection and reporting
Leads, call summaries, transcripts and bookings go to Follow Up Boss, Lofty, HubSpot, GoHighLevel, Zoho or Salesforce, directly or through n8n, Make or Zapier. A monthly report shows leads answered, showings booked, handoffs to agents and questions the AI could not answer.
What you get from it
Every lead gets a reply while it is fresh
Portal, ad and website leads are contacted as soon as they arrive, at any hour, so agents start their day with qualified conversations instead of a list of unanswered enquiries.
Agents spend their time with clients
Booking, reminders, first questions and listing drafts are handled by the system, while showings, negotiations and advice stay with your agents.
One record for every lead
Calls, chats, texts and form fills from every source land in the same CRM with the source attached, so you can see which portals, ads and listings produce showings and signed clients.
Compliance built into the scripts
Fair housing rules, call and text consent and AI disclosure are set in the scripts and tested before launch, not left to each agent to remember.
Connected to the marketing that brings the leads
BX also runs Google Ads, Meta ads and local SEO, so lead sources, CRM tags and AI follow-up can be set up together and measured as one system.
How we work
Discovery and lead flow audit
We map where your leads come from, how fast they are answered now, how showings are booked, which CRM and calendars you use, and which calls and messages should stay with people.
Pick the first use cases
Most teams start with instant lead response and showing booking, then add after-hours calls, nurture or tenant support. We agree the scope and a fixed setup quote.
Scripts, prompts and compliance review
We write the call scripts, chat flows, message templates and listing prompts, with fair housing rules, consent checks and AI disclosure built in, and send them to you and your broker of record for approval.
Build, connect and test
We build in accounts you own, connect your CRM, calendars and phone numbers, and run test leads, calls and chats for every flow, including tricky and off-topic questions, before any real client reaches the AI.
Launch, review and improve
After launch we read transcripts and call recordings, correct answers, tune follow-up timing and report every month under the care plan.

Our published case studies come from other industries, so these are the closest matches: lead handling and CRM work of the kind real estate AI depends on, not AI results. For a US online private school, BX passed campaign tags into the CRM and added a website chat that feeds it; monthly CRM leads grew from 258 in January 2026 to 870 in August, and booked admissions calls rose from 80 in May to 157 in August. For a US commercial solar installer, BX moved 52 pages onto one CRM form, imported 5,292 past leads and launched cold email to commercial property owners, so the CRM now holds 5,428 contacts ready for follow-up, the same kind of database a nurture workflow works through. Client names are withheld and results vary by market, budget and starting point.
Frequently asked questions
How can AI help real estate agents?
The most useful jobs are the repetitive ones around a deal: replying to new leads, asking first qualifying questions, booking showings, answering calls after hours, drafting listing copy and following up with older leads. Advice, pricing and negotiation stay with your agents.
What is the best AI for real estate?
It depends on where your leads come from and which CRM you use. We recommend platforms such as GoHighLevel, Retell AI, Vapi, Voiceflow, n8n or Make after looking at your lead flow, and every account is set up in your name.
How much does AI for real estate cost?
Setup starts from USD 450 for a single workflow, USD 790 for a website chatbot, USD 990 for an AI receptionist and USD 1,900 for AI voice agents, with care plans from USD 190 per month. Phone minutes, AI usage and platform subscriptions are paid directly or passed through at cost. Philippine clients are quoted in PHP plus 12% VAT.
How do you handle fair housing rules?
In the US, the Fair Housing Act prohibits discrimination in housing because of race, color, religion, sex, familial status, national origin or disability, and it also covers statements and advertisements that indicate a preference based on these. Our scripts ask every lead the same questions about budget, area, timing and property needs, the AI does not discuss protected characteristics or steer people between neighbourhoods, and listing drafts are reviewed by an agent before they are published. We add any further protected classes that apply in your state or country, and we recommend your broker reviews the scripts before launch.
Is it legal to call and text leads with AI?
It can be, when you follow your market's consent and calling rules. In the US the FCC confirmed in February 2024 that AI-generated voices count as artificial voices under the TCPA, so these calls generally need the person's prior express consent. We only set up outbound calls and texts to contacts with the consent your market requires, include opt-outs in every flow and record them in your CRM. Please confirm your approach with your own legal adviser.
Will the AI write our listings for us?
It writes drafts. The workflow turns your property details into a listing description, portal copy and social captions in your style, and the agent edits and approves each one. Facts come only from the details you provide.
Can it support property managers and tenants?
Yes. A chatbot and phone line can answer tenant questions from your approved documents, log maintenance requests with unit details and photos, and route emergencies to your on-call contact. Decisions on applications, rent and repairs stay with your team.
Who owns the system and the lead data?
You do. The CRM, phone numbers, chatbot, workflows, recordings and transcripts sit in accounts in your business name. If you end the care plan, we hand over scripts, prompts and settings so your team or another provider can keep running them.
